Every job comes with a proof before production, a VAT invoice from our UK company and delivery duty paid.

Under the Procurement Act 2023, contracts below the publication thresholds (currently £12,000 for central government and £30,000 for other contracting authorities) do not have to be advertised: a quotation, kept on file, is sufficient for your buyer. In Ireland, purchases under €5,000 need no formal quotes and up to €50,000 three quotes are the usual practice. A publication order almost always sits inside these limits, which is why this page sets out exactly how we work with a public body, so that your finance team has every answer before the first order.

How it goes, in four steps

  1. Describe the need with the form below: format, number of pages, quantity, deadline, delivery site and PO number if you already have one. A PDF of the document helps us quote precisely.
  2. Written quote within 2 working hours, ex-VAT and with VAT, lead time and 2-month validity, signable online and ready for your requisition.
  3. Online proof before production. Files are uploaded to a secure space, checked for bleed, resolution and colour profiles; artwork and layout can be done by our in-house team if you send text and pictures only.
  4. Production and delivery duty paid to the site of your choice, with the VAT invoice e-mailed and available in your online account.

FAQ – Public sector orders

Do you accept official purchase orders?

Yes. Send the purchase order with the signed quote; the PO number is printed on the VAT invoice. Payment is still due on order, before production starts.

Can you invoice ex-VAT?

UK public bodies pay VAT like any other customer; the invoice shows the net amount, VAT and gross. For Irish bodies with a VAT number, reverse charge is applied where the rules allow it, and the treatment is stated on the quote.

Are you on Crown Commercial Service frameworks?

Not at present. We supply directly on quotation below the publication thresholds, which covers most publication orders placed by a department or a school.

What is the lead time for an annual report or a newsletter?

It depends on the binding, the page count and the run. Saddle-stitched newsletters are faster than sewn or hardback reports. The production time is written on the quote and confirmed when the proof is approved.

Can you deliver to several sites?

Yes. Split deliveries to several schools, offices or libraries are quoted on request, with a tracked parcel for each address.
